POSITION DESCRIPTION

POSITION TITLE:           Academic Staff Assistant 

DEPARTMENT:             Various            SITE: Various 

SALARY SCHEDULE:    Career             GRADE: 3

BASIC FUNCTION:                   

Performs advanced and specialized staff assistant and/or secretarial duties within an academic department or unit of the college. Positions assigned to this class of work differ from the Staff Assistant classifications due to the high volume of student contact required and the type of environment present while assisting students and faculty.  Duties involve considerable daily student and faculty contact.

RESPONSIBILITIES:

v      Maintains specialized and complex academic records, reports and data of the academic department or unit to which assigned.

v      Responsible for assisting students and academic staff by providing information and services relating to the particular discipline to which assigned.

v      Implements and maintains records of SPC and department rules and procedures within the unit.

v      Performs research and special projects as directed by the academic supervisor.

v      Prepares correspondence, reports, letters, tests, documents and related materials for the supervisor and other department personnel.

v      Opens, reviews and processes incoming mail.

v      Relieves the immediate supervisor of administrative and office tasks.

v      Schedules and may participate in meetings, conferences and related activities.

v      Serves as liaison with the assigned department and other college departments and units.

v      Provides information to visitors, students, faculty and staff regarding operations and services of the department in person or over the telephone.

v      Operates a computer, calculator, data entry equipment and other office equipment.

v      Prepares reports, statistics and other information relating to the operation and services of the unit to which assigned.

v      Maintains files, records and statistics of the unit.

v      May direct the work of part-time clerical staff and student assistants.

v      The position may require the taking and transcribing of correspondence and notes utilizing shorthand or a similar method of transcription.

v      Performs related duties as required.

EDUCATION REQUIREMENTS:

Graduation from an accredited high school or possession of an acceptable equivalency diploma, supplemented by college level courses in office services skills.

EXPERIENCE REQUIREMENTS:

Four (4) years experience in office and secretarial work.

KNOWLEDGE/ABILITIES/SKILL REQUIREMENTS:

Ability to gain knowledge of the rules and procedures of the academic unit to which assigned. Knowledge of sentence structure. Knowledge of word usage. Skill in reading comprehension. Skill in proofreading. Knowledge of basic mathematics. Ability to maintain good relationships with the public, students, faculty and staff. Ability to specifically related to the needs of students in an academic atmosphere. Ability to keyboard at a prescribed rate of speed. Ability to take and transcribe dictation if the particular position requires this skill. Ability to operate a computer. Communications skills. Office management skills.
